How we handle your data
1.Plain-English summary
- We process email metadata (not body content) only as long as needed to verify fraud.
- Your account details are held in secure cloud infrastructure (EU region, migrating to South Africa).
- You can export or delete your data at any time via the DSAR page.
- You can lodge a complaint with the Information Regulator (South Africa).
2.Information Regulator (South Africa)
Responsible Party: Tender Fraud Prevention (c) 2026
Information Officer: Contact us
3.Information we collect
To deliver the service, we collect:
- Account data — name, organisation, work email, phone.
- Email metadata you submit for verification — sender, recipient, headers, SPF/DKIM/DMARC results. We do not store the email body.
- Verification outputs — risk scores and pattern matches generated by our AI.
- Usage data — page views, feature interactions, error reports.
- Billing data — payment-method tokens (not raw card numbers, which stay with our payment processor).
4.How we use it
- Provide the verification, reporting, and admin features you subscribed to.
- Detect, prevent, and investigate fraud across the user base (aggregated, never individual targeting).
- Send transactional notifications and security alerts.
- Bill subscriptions and meet South African tax obligations.
- Generate threat-intelligence statistics in fully de-identified form.
5.Legal basis under POPIA
- Contract performance — fulfilling the subscription you agreed to (s.11(1)(b)).
- Legitimate interest — fraud detection benefiting the broader procurement ecosystem (s.11(1)(f)).
- Legal obligation — tax records, audit logs, breach notifications (s.11(1)(c)).
- Consent — optional analytics cookies and marketing communications.

10.Security & encryption
How your data is protected
- TLS 1.3 in transit; HSTS preload for tenderfraud.co.za.
- AES-256 at rest for database and storage.
- Row-level security at the database layer — every query is identity-scoped.
- HSM-backed signing keys; rotation quarterly.
- Audit logs cryptographically tamper-evident.

Tender Fraud Prevention is not directed at children. We do not knowingly collect personal information from anyone under 18. If you believe a minor has provided us with personal data, contact us and we will erase it.
